OnSite Insights, Inc. ("we," "us," or "our") operates the OnSite Insights mobile application and related online services (the "Service"). We are committed to protecting your privacy and handling your information responsibly.

This Privacy Policy explains how we collect, use, and disclose information when you use the Service. By accessing or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.

The OnSite Insights app is typically made available to you by an organization — such as your employer or a site operator — that has deployed the Service ("the deploying organization"). Much of the information described below is collected on that organization's behalf and made available to it. The deploying organization's own privacy practices govern how it uses information once it receives it. Where the deploying organization directs our processing of information, this Policy describes our practices; the organization's policies describe theirs.

Account and contact information. When you create or are provisioned an account, we may collect information such as your name, email address, phone number, role, and the deploying organization you are associated with. We use this to deliver the Service, authenticate you, respond to inquiries, and communicate with you about the Service.

Work and execution records. When you use the app at a work site, we collect records relating to the work performed, including the timing and context of activities, the instructions delivered to you, signals indicating that activities occurred or were completed, and any task status or reason you submit. These records are generated for, and made available to, the deploying organization.

Location data. The app uses your device's location and Bluetooth Low Energy (BLE) beacon signals to deliver instructions relevant to where you are working and to associate work records with the correct site or session. Location and proximity data may be included in the work records transmitted to the deploying organization.

Note: Unlike a consumer navigation app, location and context data in OnSite Insights are not kept solely on your device — they are bound into work records and shared with the deploying organization as described above.

Automatically collected data. When you use the Service, we may collect technical information such as device type and identifiers, operating system, app version, and usage statistics ("Log Data"). We use this to operate, secure, troubleshoot, and improve the Service.

The app may request permission to access your device’s location and Bluetooth. These permissions support the functions described above. You can control or revoke permissions through your device settings, though doing so may limit or disable parts of the Service.

With the deploying organization. Work records, location and context data, and related information are made available to the organization that deployed the Service for you.

With service providers. We may engage third-party companies to help us operate the Service (for example, hosting, infrastructure, and analytics). They are given access only as necessary to perform their functions and are obligated to protect your information.

For legal reasons. We may disclose information if required by law, to respond to lawful requests, to protect our rights or the safety of others, or to prevent fraud or harmful activity.

We do not sell your personal information, and we do not use your work records to serve advertising. We may create and share de-identified or aggregated data as described in the “De-Identified and Aggregated Data” section below.

We may create de-identified and aggregated data from information collected through the Service — for example, by removing, obscuring, or transforming identifiers so that the data does not identify, and cannot reasonably be linked to, any individual. De-identified and aggregated data is not treated as personal information under this Policy.

We may use, retain, and disclose de-identified and aggregated data for any lawful business purpose. These purposes may include operating, evaluating, and improving the Service; research, analytics, and benchmarking; and the research, development, and training of analytics, artificial intelligence, machine learning, and robotics systems — including by our affiliates and by third parties for those purposes.

Where we maintain data in de-identified form, we will maintain and use it in de-identified form and will not attempt to re-identify it, except as permitted by law.

We retain information only as long as necessary for the purposes described in this Policy or as required by law or by our agreement with the deploying organization. Work records are retained as necessary for the purposes described in this Policy or as specified in our agreement with the deploying organization, after which they are deleted, returned to the organization, or archived per that agreement.

You can delete your account and associated personal information at any time from within the app’s settings, or by requesting deletion at info@on-site-insights.com from the email address associated with your account. Once your request is processed, your account and personal information are deleted, except for records we are required to retain under our agreement with the deploying organization or by law.

We implement appropriate technical and organizational measures — including encryption in transit and access controls — to protect information from unauthorized access, misuse, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

If you are located outside the United States, your information may be transferred to and processed in the United States and other countries that may have different data protection laws. Where required, we put appropriate safeguards in place for such transfers, consistent with applicable law.

Depending on where you live, you may have rights regarding your personal information, including the rights to access, correct, delete, or restrict certain processing, and to withdraw consent. Because some of your information is held on behalf of the deploying organization, requests concerning work records may need to be directed to that organization; we will assist as required by law.

Under the CCPA/CPRA, you may have the right to know, access, correct, and delete personal information, and to limit the use of sensitive personal information. We do not sell or "share" personal information (other than de-identified or aggregated data) as those terms are defined under California law.

Under the GDPR and UK GDPR, you have rights including access, rectification, erasure, restriction, portability, and the right to withdraw consent. UK users may lodge a complaint with the Information Commissioner's Office (ICO).

Under PIPEDA, you have rights including access, correction, and withdrawal of consent.

The Service is intended for use by authorized adults in a workplace context. You must be at least 18 years old to use the Service. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected such information, we will delete it.

We may update this Privacy Policy from time to time. Changes will be posted here and, where appropriate, communicated to you within the Service. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
